DocSync (“we”, “our”, “us”) is a web-based software application designed, developed, and operated by Pragma Infotech. We respect your privacy and are committed to protecting the personal and business information entrusted to us by our users.

1.1 Account & Business Information
When you register or use DocSync, we may collect:
• Owner / Administrator name
• Firm or business name
• Email address
• Mobile number
• Address and GST details (if provided)
• Login credentials (encrypted)

1.2 Staff Information
For internal workflow and access control, we may collect:
• Staff name
• Email address
• Mobile number
• Role, permissions, and access levels
• Activity logs related to assigned tasks

1.3 Client Information (Stored Data)
DocSync allows users to store and manage basic client information for professional communication and workflow purposes. The following information may be stored:
• Client full name
• Residential or business address
• City, State, and country
• Type of firm or entity (Individual, Proprietorship, Partnership, LLP, Company, etc.)
• PAN, TAN, and other statutory identifiers
• Client email address and phone number
• Accountant or authorized representative’s name, email address, and phone number
This data is stored only to enable professional communication, task management, and compliance-related coordination.

1.4 Communication Data (Email & WhatsApp)
DocSync enables communication using:
• Inbuilt email features
• WhatsApp Web URLs (redirection-based, not message interception) Key clarifications:
• DocSync does not read, monitor, or store WhatsApp messages
• WhatsApp communication occurs on the user’s own WhatsApp account and device
• Emails sent via DocSync are used solely for user-initiated communication

1.5 Email (Gmail) Integration Data
When an owner connects their Gmail account:
• Access is granted only with explicit consent
• Limited to:
• Sending emails on behalf of the owner
• Receiving emails for workflow coordination
• Email data is processed in real time
DocSync and Pragma Infotech do not permanently store email content or attachments, unless explicitly required for a user-requested feature.

1.6 Payment Information
• All payments are processed by third-party payment gateways
• DocSync and Pragma Infotech do not store banking, card, or UPI details

1.7 Client Data & Consent Responsibility
• The User confirms and agrees that they have obtained all necessary consents, authorizations, and permissions from their clients, customers, or associated parties to collect, store, and process such information using the DocSync platform.
• By using DocSync, the User confirms that they have obtained necessary consent from their clients to store and process their information within the platform. DocSync and Pragma Infotech act solely as a technology service provider and shall not be responsible for the legality, accuracy, or authorization of any client data uploaded by the User.


2. Purpose of Data Collection
Information collected is used to:
• Manage user, staff, and client records
• Enable professional communication via email and WhatsApp Web
• Track tasks and workflow progress
• Facilitate compliance-related coordination
• Provide customer support
• Meet legal and regulatory obligations


3. Document Handling Policy (Important)
DocSync is a workflow and communication platform DocSync does NOT store, host, or retain:
• Client documents
• Financial statements
• Attachments
• Certificates or filings
All documents remain under the control of the user.


4. Legal Basis & User Responsibility
Users confirm that:
• They have lawful authority and client consent to store client information in DocSync
• Data entered into DocSync complies with applicable privacy and professional regulations
• They are responsible for informing their clients about data usage DocSync acts as a data processor, while the user acts as the data controller.


5. Data Sharing & Disclosure
We do not sell or rent personal data.
Data may be shared only:
• With payment gateways (for transaction processing)
• With email service providers (Gmail API, where enabled)
• When required by law, court order, or regulatory authority


6. Google API & Gmail Compliance
DocSync’s use of information obtained from Google APIs:
• Complies with Google API Services User Data Policy
• Is limited to user-authorized functionality
• Does not use Gmail data for advertising or analytics
• Does not transfer Gmail data to unauthorized third parties


7. Data Security
Pragma Infotech implements reasonable safeguards, including:
• Encrypted data transmission
• Role-based access controls
• Secure authentication
• Restricted administrative access despite safeguards, no system is completely secure.


8. Data Retention
• Client and account data is retained while the account remains active
• Upon account termination
• Data may be deleted or anonymized within a reasonable period, subject to legal requirements
• Communication content is not retained unless explicitly required


9. User & Client Rights
Users may:
• Access and update stored client information
• Correct inaccurate data
• Request account or data deletion
• Revoke Gmail integration access at any time


10. Third-Party Services
DocSync may integrate with third-party services such as:
• Payment gateways
• Email providers
• WhatsApp Web
Pragma Infotech is not responsible for third-party privacy practices.
